Notification Preferences


Description

The Announcements, Resources, Syllabus and Email Archive tools allow emails to be sent to participants alerting them to new items on a site. Creators of new announcements, resources, changes in syllabi, etc. can choose whether a notification will be sent and whether it is high priority (everyone gets it immediately) or low priority. Participants can set their notification preferences so they will or will not receive low priority notifications.

Receiving announcements by email

When an announcement on a site is made, the creator of the announcement can choose whether to send it to site participants via email, and whether it is high priority or low priority. Participants can opt out of receiving low priority announcements from any of their sites.

1... Click Preferences in the left-hand menubar. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications near the upper-left corner of the main window under the word Preferences.

- If you would like to receive announcements as they are created, click the radio button next to "Send me each notification separately."

- If you would like to receive only one email a day that summarizes the low priority emails, click the radio button next to "Send me one email per day summarizing all low priority announcements." Note that you will still receive high priority announcements as they are created.

- If you would like to receive only high priority announcements, click the radio button next to "Do not send me low priority announcements."

3... Click Update Preferences after you have made your choices.

Receiving notifications of new resources and dropbox items on a site

When a new resource or dropbox item is added to a site, the creator of the item can choose whether to send a notification to site participants via email, and whether the notification is high priority or low priority. Participants can opt out of receiving low priority resource and dropbox notifications. These preference will apply to all your sites.

1... Click Preferences in the left-hand menubar. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications near the upper-left corner of the main window under the word Preferences.

- If you would like to receive notifications of resource and dropbox items as they are created, click the radio button next to "Send me each resource separately."

- If you would like to receive only one email a day that summarizes the low priority resource and dropbox notifications, click the radio button next to "Send me one email per day summarizing all low priority resource notifications." Note that you will still receive high priority resource and dropbox notifications as they are created.

- If you do not want to receive any low priority notifications, click the radio button next to "Do not send me low priority resource notifications."

3... Click Update Preferences after you have made your choices.



Receiving notifications of a new syllabus or syllabus changes

When a new syllabus or syllabus edits are made, the instructor can choose whether to send a notification to site participants via email, and whether the notification is high priority or low priority. Participants can opt out of receiving low priority notifications. These preferences will apply to all your sites.

1... Click Preferences in the left-hand menubar. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications near the upper-left corner of the main window under the word Preferences.

- If you would like to receive syllabus-related notifications as they are created, click the radio button next to "Send me each resource separately."

- If you would like to receive only one email a day that summarizes the low priority notifications, click the radio button next to "Send me one email per day summarizing all low priority notifications." Note that you will still receive high priority notifications as they are created.

- If you do not want to receive any low priority syllabus-related notifications, click the radio button next to "Do not send me low priority notifications."

3... Click Update Preferences after you have made your choices.

Receiving email that is sent to the site

When email is sent to a CTools site, it is also sent to the site's participants. You have several options for receiving this email.

1... Click Preferences in the left-hand menubar and scroll to the Email Archive section. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications near in the upper-left corner of the main window under the word Preferences.

- If you would like to receive each email separately, click the radio button next to "Send me each mail sent to the site separately."

- If you would like to receive only one email a day that summarizes the emails, click the radio button next to "Send me one email per day summarizing all emails."

- If you do not want emails sent to the site to also be sent to you, click the radio button next to "Do not send me emails sent to the site."

3... Click Update Preferences after you have made your choices.




Tab Management



Description

CTools version 2.9 includes new tab management capabilities. You can choose whether your course and project site tabs will be displayed in the CTools Banner, in the "Drawer" (a window that opens across the top of the CTools window), or not be displayed at all. See the sections below for information on how to rearrange, relocate and hide your tabs.

Note: In this help page, "site tabs" and "tabs" are used interchangeably.

You can have up to 50 site tabs in the banner across the top of the CTools screen.

To open the drawer click More Sites.

To close it click anywhere on CTools screen.

Reorganizing, relocating and hiding tabs in Preferences

In the Preferences tool, you can rearrange your site tabs and choose where they will appear.

1. To open Preferences, click the little guy with a gear icon (see image) in the upper right corner of the main CTools window and choose Tab Management.

(Alternatively, you can click Preferences in the left-hand menubar while you're in My Workspace.)

2. Use your keypad, mouse, or keyboard arrow keys to click and drag tabs from one column to another and to change their order.

- Tabs in the "Favorite Sites" column appear in the banner along the top of the main CTools window.

- Those under "Active Sites" show up in the drawer, which appears when you click More Sites in the banner of the main CTools window.

- Tabs under "Archived" will not appear anywhere.

3. Be sure to click Update Preferences when you're done! (You may need to scroll down to see it.)

Searching site tabs

If you have three or more site tabs in your drawer, you can use the drawer's site tab search feature. To do this:

1. Open the drawer by clicking More Sites in the banner.

2. In the Search box, type a keyword.

3. Click the red X right next to the search box to reset search.



Viewing and sorting your sites in your All Sites list

In the Worksite Setup section of My Workspace there is a list of all your sites. You can access this list either by going to My Workspace and clicking the Worksite Setup button in the left-hand menubar, or by clicking View All Sites in the upper right corner of the drawer.

In your All Sites list, you can

- sort the sites by clicking the column titles
- view a subset of your sites using the "View" drop-down menu
- edit information about a site
- search the list
- delete a site

Note: Changing the All Sites ist will not affect the tabs displayed in the banner or drawer (unless you delete a site).

I can't find the tab for my class!

Students, any classes you have registered for in the current term will automatically show up as a course site tabs (links) when you log in to CTools (unless the instructor is not using CTools).

Two common misconceptions:

1. In order for students to access materials for a course, each student has to create a course site for that course. Only instructors can create course sites and students registered for the course are automatically granted access to the instructor-created sites.

2. Students must join a course site for a class they've registered for. Once registered, a student is automatically added to the official course site for that class.

If you do not see the tab for a course site you are looking for, it's usually because:

A) The site's tab is not visible because it's in your CTools "drawer," which is the panel that appears when you click More Sites on the blue banner across the top of the CTools screen (see tabs in the drawer here).

B) If you recently registered for the class, there may be a delay of up to 24 hours before the change in the registrar's database is reflected in CTools. If you need immediate access to the site, you will need to have your instructor manually add you to the site.

C) The site has not yet been created or the instructor has created the site but not published it. You will need to check with your instructor about these possibilities.
