Description

The Podcasts tool allows instructors and project managers to easily post content, e.g., audio, video or pdf files of lectures, interviews, etc., on the web and distribute the content via an RSS feed. Instructors and project members can download podcasts individually or subscribe to an RSS feed, which allows podcasts to be downloaded automatically to a podcatcher (such as iTunes). They can browse and download the files to their Macs or PCs, regardless of their location, and they can listen to and view the content on their computers or transfer it to their iPods to listen to or view it wherever they go.

Keep in mind that the Podcasts tool is not the only way to make files available to students and site participants. The Resources tool or the iTunes U tool can also be used. For information on using these tools, click on "Using the Tools" in the CTools Online Help table of contents, and then click "Resources" or "iTunes U")

By default, the RSS feed for the Podcasts tool is open to the public, but can be limited to site participants by managing the access options (see below).

The Podcasts tool creates a folder entitled "Podcasts" in the Resources tool. You must have Resources turned on in your CTools site in order to use the Podcasts tool. (If you don't see Resources in your menubar, you may have to add it. For instructions, see "Setting up a Course or Project site" or "Site Info" in this online help.)

Note: To complete the procedures in this document, you must be assigned a role having the necessary permissions. See the permissions section at the end of document.

Uploading a podcast to CTools to make it available

The Podcasts tool allows you to upload a podcast for sharing with your site participants. To add a podcast, follow these steps:

1. From your site's menubar, click Podcasts. (If you don't see Podcasts in your menubar, you may have to add it. For instructions, see "Setting up a Course or Project site" or "Site Info" in this online help.)

2. Click Add.

3. Next to "Choose a file", click Browse, and then find and select the file you'd like to upload. Then click Open.

4. Next to "Publish Date/Time", click the calendar icon, and then select the date and time you want your file to become available.

5. Next to "Title", enter a title for your file in the text box.

6. Under "Description" you can enter a brief description of the file.

7. When you're finished, click Add to upload your file to Podcasts, or click Cancel to cancel the upload.

Your file will appear on the Podcasts screen, under the heading for the date you published it.

Editing podcast information

Once you upload a podcast, you can edit its title and description, change the date and time it's available, or choose another file to upload. To do so, follow these steps:

From your site's menubar, click Podcasts. (If you don't see Podcasts in your menubar, you may have to add it. For instructions, see "Setting up a Course or Project Site" or "Site Info" in this online help.)

Find the podcast you want to edit, and under its title, click Revise.

When you're finished with your changes, click Save Changes.



Deleting a podcast

To delete a podcast, follow these steps:

1. From your site's menubar, click Podcasts. (If you don't see Podcasts in your menubar, you may have to add it. For instructions, see "Setting up a Course or Project Site" or "Site Info" in this online help.)

2. Find the podcast you want to delete, and under its title, click Delete.

3. On the Deleting Podcast screen, to confirm the deletion, click Delete.

Your podcast will be removed from the Podcasts screen.

Managing access to podcasts

With the Podcasts tool, you can restrict access to your podcasts to site participants only, or you can make them available to the public. You can also edit permissions, and define who is allowed to create, revise, and delete podcasts.

To manage access to your podcasts, follow these steps:

1. From your site's menubar, click Podcasts.

2. Near the top, click Options, and use the radio buttons to choose one of the following:

3.To provide public access to your podcast through a podcatcher, choose Display to non-members (publicly viewable).

To restrict access to site participants only, and to disable access through a podcatcher, choose Display to site.

4. When you're finished, click Save Changes.

Note: This will affect access to all of your podcasts.

Editing information about the RSS feed in podcasts

To change the title and description of the RSS feed, follow these steps:

1. From your site's menubar, click Podcasts.

2. Under the RSS feed URL, click Revise.

You can change the title and description of the RSS feed, which will be available to your site participants through their podcatcher applications.

3. When you're finished, click Save Changes.

Editing permissions

To edit permissions, follow these steps:

1. From your site's menubar, click Podcasts.

2. Near the top, click Permissions.

3. On the Permissions screen, you can add permissions based on participant roles. Available permissions are as follows:

- New Add new podcasts
- Read View or download podcasts
- Revise Edit podcast information
- Delete Remove podcasts

4. When you're finished, click Save Changes.



Downloading a podcast to view it

Using the Podcasts tool, you can download individual podcasts or subscribe to an RSS feed.

To download an individual podcast, follow these steps:

1. To see a list of podcasts, in your site's menubar, click Podcasts.

2. Find the podcast you want, and under its title, click Download.
Note: Podcasts are listed in order by date published.

When prompted, you may choose to open the file or save it to your computer.

Subscribing to the Podcast Tool's RSS feed using iTunes

To subscribe to an RSS feed of podcasts for your site, copy and paste the RSS feed URL into your podcatcher application. While you can subscribe to the Podcasts tool RSS feed using any podcatcher, CTools recommends using the Apple iTunes application, available free for both Windows and Mac users.

1. Highlight the Podcast's URL (e.g., https://ctools.umich.edu/podcasts/site/4gd61...) and save it to your computer's clipboard using the 'Edit' > 'Copy' commands in your web browser.

2. Start the iTunes application.

3. Click Advanced.

4. Select Subscribe to Podcast...

5. Paste the URL from CTools into the box provided and click OK.

6. If the podcast is available only to site participants, you will be asked to enter your CTools username and password and then click Log In.

7. The most recent file will automatically begin downloading in the 'Podcasts' area of iTunes and you may manually download older files. As new files are added, iTunes will automatically download them depending on your Podcast frequency settings specified in the iTunes preferences. The Refresh button in the lower right corner of the screen will also tell iTunes to recheck for new information.
