Overview

The Messages tool is an internal course or project website mail system for messaging between individuals and groups.

For information on how to add the Messages tool or any other tool after you have created your site, click here (opens in a new browser window) or click Edit Tools on the Site Info tool under "Site Management" in the help table of contents.



Sending a message

1. In your site's left-hand menubar, click Messages.

2. On the Messages screen, or while viewing the contents of a Messages folder, click Compose Message.

3. Next to "To", use the list to select the individual(s) or group(s) you want to receive the message. To select multiple participants, use Ctrl-click (in Windows) or Command-click (in Mac OS X). You can also choose to send your message to the entire site, or to all users with a particular role (e.g., all instructors or all assistants).

4. Next to "Send", use the radio buttons to choose to send your message either As Message or To Recipients' Email Address(es).

Note: If you send your message using the To Recipients' Email Address(es) option, your message will go directly to the recipients' email addresses, and a copy will go to both their Received folders and your Sentfolder in Messages. Recipients cannot reply to the message via email; they must use the Messages tool.

5. Under "Label", use the drop-down list to change the priority status for your message.

6. Next to "Subject", type the subject of your message.

7. Under "Message", use the WYSIWYG editor to compose your message.

8. Under "Attachments", you can attach a file from your local computer or from Resources, or specify the URL for a file on the web. For instructions, see Options for adding attachments.

9. To send your message, click Send.

Forwarding a message

1. In your site's left-hand menubar, click Messages.

2. On the Messages screen, click Received to view the messages you've received.

3. Find and click the message you wish to forward.

4. Click Forward.

5. The text of the original message is included in the WYSIWYG editor.


Replying to a message

1. In your site's left-hand menubar, click Messages.

2. On the Messages screen, click Received to view the messages you've received.

3. Find and click the message to which you're replying.

4. Click Reply or Reply to all.

Viewing and managing messages

Unread messages are in bold; viewed messages are marked as read, but you can mark as read, but you can mark any read message as unread. By default, messages are listed chronologically, but you can select the By Conversation view to display messages in indented threads.

The following basic functions are available in the Messages tool:

- To compose a message, click Compose Message. See the sections on sending, forwarding, and replying to messages on this online help page.

- To create a new personal folder, click New Folder.

- To forward your messages to an email address of your choosing, click Settings. Next to "Auto Forward Messages", click Yes. Type the email address in the text box, and then click Save Settings.

Note: You cannot reply to Messages from the forwarded email messages; to reply, go to the Messages tool in your site.

- You'll see the total number of messages and unread messages for each folder next to the folder's title. To see the contents of a folder, click its name. Inside a folder, you will see a list of messages arranged by date.

- To sort messages, click a column title (Subject, Authored By, Date, or Label).

- To change the way messages are displayed, from the "View" drop-down list, select either All Messages or By Conversation.

- To view another folder, click Previous Folder or Next Folder.

- To compose a new message, click Compose Message. See the sections on sending, forwarding, and replying to messages in this online help page.

- To view the contents of a message, click its subject.

- To mark messages as read or unread, check the messages you wish to mark, and then click Mark Read or Mark Unread.

- To move messages to another folder, check the messages you wish to move, and then click Move. Select the destination folder, and then click Move Messages.

- To delete messages, check the messages you wish to delete, and then click Delete. This moves the messages to the Deleted folder, but does not purge (i.e., permanently delete) them. To purge deleted messages, open the Deleted folder, select the messages you wish to purge, click Delete, and then click Delete Message(s) to confirm.

- To view another message, click Previous Message or Next Message.

- To compose a reply, click Reply. See the sections on sending, forwarding, and replying to messages in this online help page.

- To forward a message, click Forward. See the sections on sending, forwarding, and replying to messages on this online help page.

- To move a message to another folder, click Move to folder. Use the radio buttons to select a destination folder, and then click Move Message.

- To delete a message, click Delete. To confirm the deletion, again click Delete.

Searching Messages

1. In your site's left-hand menubar, click Messages.

2. Click the folder you wish to search.

3. Next to "Search for text:", enter your search terms in the text box, and then click Search. The standard search will look for your terms in the subject line of the messages in the selected folder. Searches are case sensitive.

5. Search parameters in advanced searches will remain checked for subsequent searches until you clear them by clicking Clear Search.

6. To end an advanced search, click Normal Search.



Messages notifications

You can set priority levels for messages to distinguish important messages from others. You can see the number of new messages in either My Workspace or your site's Home page. You can also choose to get email notification of new messages or new postings on forum threads you have contributed to.

To see if you have new messages go to your home page in My Workspace. Under "Message Center Notifications", you'll see a list of your sites, and the number of new messages and forum postings for each. If there are no new messages or forum postings, you'll see "none" beside your site.

To set email notification preferences:

1. In your site's left-hand menubar, click Messages.

2. Click Settings.

3. Next to "Auto Forward Messages", click Yes. Type the desired email address in the text box provided, and then click Save Settings. This will forward a copy of each message to the email address you entered.

Note: You cannot reply to Messages from the forwarded email messages; to reply, go to the Messages tool in your site.
